HELP WANTED: AVRMC Administrative Assistant - Administration

Job Summary:

- Assists the CEO and Executive Assistant with department responsibilities.

- Assists the CEO and Board with travel arrangements.

- Manage CEO meeting calendar to include all meetings and scheduled appointments. Confirm and communicate all events with CEO Keep CEO apprised of all scheduled meetings.

- Executive Assistant and Administrative Assistant will work together to maintain Administration’s Petty Cash fund.

- Back-up to the Executive Assistant with approval of the biweekly timecards for the CEO’s exempt and non-exempt employees, employed Emergency Room physicians, and others as indicated.

- Executive Assistant and Administrative Assistant will work together to project a positive image of AVRMC and Administration including sending cards, floral arrangements, and other tokens including letters pursuant to AVRMC’s policies.

- Accepts donations on behalf of AVRMC.

- Work with Hospital Auxiliary and Executive Assistant to coordinate Annual Banquet and other events as presented.

- Works with the CEO and Executive Assistant on Christmas gifts for Board, Medical Staff, and Leadership Team, and with the Medical Staff Coordinator for Doctor’s Day gifts.

- Maintain Board of Directors Binders with monthly meeting(s) information e.g., making tabs, organizing meeting packets in the binder, and organizing supporting documentation, reports, medical staff information, and all approved AVRMC contracts. Including maintaining and filing original copies of these documents.

- Order and dispense office supplies for Administration Department.

- Open, read, route, and distribute incoming mail or other materials and answer routine letters.

- Coordinate conference room MEC 1-2 & 3, meetings, special events, for the facility. Including updating, tracking, coordinating, and distributing Master Schedule.

- Operate electronic mail systems and coordinate the flow of information, internally or with other organizations. Locate and attach appropriate files to incoming correspondence requiring replies.

- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

Education and/or Experience:

- High School Diploma Required.

- One to two years’ experience in Administrative Office preferred.

Salary will depend upon education and experience.
